Purpose of the Role

  • As a Young Carers Admin Support Volunteer, you will play an important part in helping our Support Work Team deliver vital services to young carers aged 5–25. You’ll take ownership of routine administrative tasks that keep the project running smoothly — from managing bookings and updating databases to contacting families and preparing resources. This behind-the-scenes support helps free up staff time, allowing them to reach and assist even more young carers across Solihull.

    This role is ideal for someone who enjoys organisation, communication, and detail-oriented work, and who feels confident working independently once trained (with ongoing guidance and support).

Key Roles and Responsibilities

  • Arrange room and venue bookings for group sessions and meetings.
  • Contact families to chase outstanding paperwork (e.g., GDPR consent forms).
  • Carry out data entry using simple spreadsheets and our internal database (digital reviews, attendance logs, etc.).
  • Help source and confirm facilitators for workshops and events.
  • Retrieve and update information from the database as needed.
  • Send bulk communications to families (e.g., text reminders, updates).
  • Confirm logistics before visits – ensuring families, schools, and facilitators are expecting support workers.
  • Order, replenish, and collate resources such as stationery, forms, and activity materials.
  • Assemble and send welcome packs to new young carers.
  • Help schedule appointments with families for reviews and assessments.
  • Undertake other reasonable tasks as agreed with your line manager or project coordinator.

Preferred Skills and Qualities

  • Minimum of two years’ administrative experience (work or voluntary).
  • Confident working independently with remote or light-touch supervision.
  • Comfortable making phone calls and contacting families or venues.
  • Experience using Microsoft Word, Excel, and simple databases.
  • Highly organised, reliable, and detail-focused.
  • Quick to learn and proactive in completing assigned tasks.
  • Strong written and verbal communication skills.
  • Works well as part of a team, contributing positively to a supportive culture.
  • Passionate about delivering a high-quality service for young carers.

Additional Notes / Special Requirements

  • Working hours are flexible and will be agreed based on your availability and project needs.
  • Training and supervision will be provided.
  • An enhanced DBS check and reference verification will be required before starting.
  • Travel expenses will be reimbursed in line with Carers Trust Solihull’s volunteer policy.
